OVERVIEW –

The Opportunity

In 2019 ValeForms was an enterprise tool used by +1000 employees. As the pandemic unfolds in 2020, Vale has to rely on technology to continue production by changing processes and routines for essential workers. ValeForms became the COVID screening tool, since it had integration with the secure data of all employees & vendors ID (aprox. 125 000). Any form builders off-the-shelf in the market could deliver this secure ID integration (Forms stack, Microsoft forms, Power Automate,Type Form, Google Forms, Survey Monkey).

Form submission growth rate in the last 2 years is 76%, supporting 25,000 users across all business areas (Brazil, Chile, Canada, UK, Malaysia, Japan) that rely heavily on key initiates for COVID, HS&E, Production, etc.

Recently ValeForms (3.9 v) had gone through a complete backend improvement, becoming more robust & sustainable.

The problem

End users were happy with the functionality, impressed with workflow features and performance. However, they didn’t think the app was user friendly, not allowing them to perceive much value.

Old ValeForms Interface

THE GOAL

Gain a deeper understanding of ValeForms users, needs, frustrations, wants, overall across portal and mobile. It will allow our team to identify areas of opportunities and flaws, before the launch of ValeForms 4.0.

Project Phases

Discovery –

I crafted a user research strategy. We interviewed 22 key users across (Brazil, Chile, Canada, UK, Malaysia, Japan) Admin user, respondent user for portal and respondent user for mobile, to gain a deeper understanding of users’ needs, frustrations & wants across portal and mobile app. 

Definition –

We moved into brainstorming sessions , prioritization, review AI and come up with tangible wireframes.

Research findings

  • Interface was not user-friendly. The web and mobile app were developed by different teams. Resulting in a broken UI, hard for users to recover from errors,
  • Lack of help & documentation,
  • Language used was very technical for end users. Therefore, request for one one training was in high demand.
  • Users wanted new features just like the competitors.
  • Automation for follow ups, notifications, more access control levels.
  • Data visualization real time and centralized information.
  • Users didn’t know the full capabilities of ValeForms. They would rather use Microsoft forms since was more user friendly.
  • Help desk tickets numbers were high, due not intuitive interface.
  • Users would love to have templates for forms and workflows so they don’t have to create from scratch.

QA ValeForms Portal

A customer support system that goes beyond the interaction with a tool.

We created a community on teams were end users were engage with other, our support team were part of the channel for multilingual audiences (teams & intranet).

A product page as a repository for manuals, video demos and training in both languages was created.

As well as collateral items such as surveys, walkthroughs, digital ads, internal social media channels.

By engaging users, we strengthen stakeholder relationships, kept out backlog relevant.

In 6 months, we increased our adoption numbers, reduced tickets and training and increased customer satisfaction

Transformed complex workflows for a form builder in desktop and mobile, achieving a 32% adoption rate, reducing support tickets by 65%, and cutting training time by 83%.
